The Financial Secretary position is to fulfill the bookkeeping / accounting affairs of the church, process payroll, A/R, A/P, and maintain documentation in proper order for auditing.
This person must be interested in serving God as a team member of the Wake Forest/VCR UMC multi-site staff.
The position is part time, approximately 20 hours per week in the office, on Monday, Tuesday (required) and then Wednesday or Thursday.
The Financial Secretary is under the direct supervision of the Lead Pastor and is overseen by the Staff/Pastor Parish Relations Committee (SPRC).
Qualifications:
Minimum of Bachelor's degree, or certification in a related field, or equivalent experience.
2-3 years of experience is required.
It is strongly preferred for some amount of prior work experience to have been in a financial secretary role in a church or non-profit setting.
Proficient in Quickbooks and Microsoft Office tools.
Understand the need for Confidentiality of this position.
Be a self-starter with excellent organizational, time management, and communication skills (verbal and written).
Since handling of both checks and cash will be a responsibility of the Financial Secretary, sound accounting and cash management practice shall be followed at all times by the financial secretary.

Responsibilities:
Weekly Duties Record weekly offerings from worship services and online donations.
On Mondays, make weekly bank deposits of offerings Reconcile offerings to bank deposits.
Report weekly contributions to Pastors, Church Treasurer and Finance Chair.
Issue weekly payments with appropriate approvals.
Attend bi-weekly staff multi-site staff meetings.
Monthly Duties Prepare monthly financial reports to the Finance Committee, Preschool, and appropriate ministry area leaders.
The Financial Secretary may be asked to attend Finance Committee meetings to present the monthly giving report and provide any other pertinent giving information.
Issue payroll on a semi-monthly basis.
Make sure accounting practices follow the Church Record Retention Policy and well as the Policies and Procedures of the United Methodist Church.
Maintain and update Financial Procedure handbook as needed.
Quarterly Duties Prepare individual member contribution statements.
Yearly Duties Prepare and present your records for audit.
Prepare financial records for various Annual Conference Reports in coordination with the Pastor.
Work with the Finance Committee to prepare a yearly budget.
Record pledge information and provide updates during stewardship drives.
Submit federal and state payroll information to the appropriate agency and distribute W-2's and 1099's.
Complete Annual Workers Compensation Audit Occasional Duties Maintain a record of special gifts and send appropriate acknowledgments.
The Financial Secretary shall work as required with the Pastor, the Administrative Council and other lay staff in providing information for fund raising programs and special projects dealing with contributions of WFUMC/VCR members.
Process sales tax refund on a semi-annual basis.
Position:
The Financial Secretary position is a part time, hourly (non-exempt) position that averages approximately 20 hours per week.
The actual number of hours required during any given week are those needed to fulfill the responsibilities of the position.
With the exception of Mondays, days working during the week can be flexible as long as they are during normal business hours.

Estimated Salary: $20 to $28 per hour based on qualifications.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
