This position is responsible for providing administrative support to the Business Office in the following areas of operation:
(1) Accounts Receivables/Gift Processing, (2) Accounts Payables, (3) School Tuition/Student Billing, and (4) Memorial Garden.
This position strives to maintain a positive, Catholic environment in order to promote the growth and wellbeing of the parish and school.
I.
Accounts Receivables/Gift Processing a.
Receive and open all mail to the Business Office daily.
b.
Process and prepare deposits weekly.
c.
Post gifts in ACS in a timely and accurate manner.
d.
Maintain confidentiality in processing gifts.
e.
Annually, send year-end statements to parishioners via USPS mail.
f.
Support Business Manager with annual commitment campaigns, and other projects as needed.
II.
Accounts Payables a.
Sort and prepare parish bills to be paid by the Business Manager weekly.
b.
Once parish bills have been paid, file invoices in a precise and timely manner.
c.
Support Business Manager in receiving, processing, and maintaining Financial Assistance requests.
III.
School - Tuition/Student Billing a.
Receive registrations from School Office and review them for accuracy.
b.
Ensure registration spreadsheet matches deposits of fees received by the school.
c.
Support Business Manager in FACTS Tuition Management.
IV.
Memorial Garden a.
Maintain Memorial Garden niche records in a timely and accurate manner.
b.
Meet with parishioners and complete sales of niches in the Memorial Garden.
c.
Work closely with the engraver to ensure accurate plaques are installed.
d.
Audit files annually for accuracy.
V.
Business Office a.
Assists Business Manager in various duties.
b.
Maintains confidentiality regarding all parish matters.
c.
Provide backup reception assistance for the Pastoral Administrative Assistant.
d.
ACS/OSV/RE/WeShare Database maintenance; monthly report of changes to be sent to diocese.
e.
Attend weekly staff meetings.
f.
Order office/kitchen supplies as needed.
g.
Other duties as assigned by Business Manager or Pastor.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
